2 Introduction
These Terms and Conditions (“Terms”) apply to all bookings and services provided by Diamond Cars
Transfers Ltd. (“Diamond Cars Transfers”, “company”, “us”, “our”).
By booking, using, or benefiting from our services, passenger agrees to be bound by these Terms.
3 Definitions
- Booking: A request made by passenger through phone, WhatsApp, email,
company site, or any approved method.
- Contract: The binding agreement created when company accept your booking.
- Passenger: Any person travelling or booking services.
- Driver: A licensed private hire driver assigned by Diamond Cars Transfers
LTD.
- Vehicle: A private hire vehicle licensed for passenger transport.
- Meeting Point: The agreed pickup location.
- No Show: Failure to present yourself at the designated pickup time and
location.
- Transportation Service: Any pre booked journey provided by Diamond Cars
Transfers Ltd.
4 Governing Laws
Our services operate under the following:
- Private Hire Vehicles (London) Act 1998
- Local Government (Miscellaneous Provisions) Act 1976
- Equality Act 2010
- UK Data Protection and GDPR Regulations
- Relevant licensing regulations for private hire vehicles
These Terms are governed by the laws of England and Wales.
5 Booking Requirements
All booking details must be accurate, including passenger numbers, luggage, date, time, and
flight details (where applicable).
- Bookings inside London require minimum 5 hours’ notice.
- Bookings outside London require minimum 8 hours’ notice.

A booking is only confirmed once a confirmation email/message is sent by us.
7 Company Obligations
Diamond Cars Transfers Ltd. will:
- Provide a licensed private hire driver and vehicle.
- Ensure the service is conducted professionally and safely.
- Uphold strict anti-abuse, anti-discrimination, and equality standards.
- Monitor flight arrivals for airport pickups.
8 Passenger Obligations
Passengers must:
- Provide accurate booking details.
- Behave respectfully toward drivers and staff.
- Not smoke, vape, consume alcohol, or use drugs inside the vehicle.
- Not leave valuables behind (company do not accept responsibility for loss).
- Ensure appropriate vehicle size is booked for passengers and luggage.
- Be at least 18 years old to make a booking.
9 Formation of Contract
A legally binding contract is formed once:
- Passenger submits a booking request.
- Diamond Cars Transfers Ltd. reviews and accepts your booking.
- Passenger receives a booking confirmation.
Bookings are non-transferable to another person or company.
10 Airport Pickups
Company monitor flight landing times.
Your booking must include :
- Flight number.
- Arrival airport and terminal number or name.
- Correct landing date/time.
- Baggage size and quantity.
- 60 minutes free waiting after actual landing time is included.
- Additional waiting time is charged (see Waiting Charges section).
- All airport parking fees also apply (see Parking Charges section).
11 Waiting Time
11.1 Free Waiting Allowance
- Airport pickups: 1 hour free waiting from actual landing time.
- Non Airport Pick Ups: 10 minutes free waiting from scheduled pickup time.
12 Waiting Charges
After the free waiting allowance, the following waiting rates apply:

Waiting charges will be added to the final fare.
13 Extra Parking Charges
Parking charges apply to Airports, Train stations, Seaports, and Private car parks.
- Extra parking fees are additional and charged at cost, depending on the airport/parking
authority.
- These charges apply in addition to waiting time fees.
14 Extra Charges (Extra Stops)
- Up to 2 miles: £25
- Between 2.1–4 miles: £35
- Route changes, additional mileage, or delays caused by the passenger will incur extra
charges.
- Congestion Charge, ULEZ, Dart Charge and tolls are added where applicable.
15 No Show Policy
A full fare will be charged if:
Airport: Passenger fails to contact the driver or office within 60 minutes of
landing.
Non Airport: Passenger fails to contact the driver or office within 10 minutes
of scheduled pickup time.

16 Luggage Policy
To avoid service issues, passenger must inform us of luggage quantity and size during booking.

Vehicle Capacity Guide
- Saloon: 2 medium suitcases
- Estate: 3 Medium suitcases
- MPV (7 Seater): Up to 6 Medium suitcases (depending on passengers)
- MPV (8 Seater): Up to 7 Medium suitcases (depending on passengers)
Oversized and large items such as suitcases, prams, wheelchairs, or sports equipment must be
declared in advance. If not mentioned or informed during the booking time then extra charges may
incur on pickup time or another vehicle need to book on last minute.
Please Note: Drivers may refuse to load extra baggage due to health and
safety
issues.
17 Vehicle Assignment
Company will try to arrange your desired vehicle at your request and if due to nay mishap company
could not provide your chosen vehicle or it is unavailable, a similar or upgraded vehicle may be
provided at no extra cost. In such emergency case passenger will have to cooperate with company
and driver.
In exceptional situations, more than one vehicle may be required.
18 Passenger Conduct & Safety
Passengers must not:
- Open doors before the vehicle stops.
- Shout, threaten, or behave abusively.
- Throw objects out of the window.
- Put drivers or themselves in danger.
Drivers may refuse service if safety is compromised.
19 Child Seats & Pets
- Child Seats: £10 per seat (Baby/Infant/Child). Must be pre-booked.
- Pets: Require prior approval.
- Assistance Dogs: Always accepted free of charge.
20 Lost Property
Lost items are held at our office.
Delivery of items will incur an additional charge.
21 Cancellations & Refunds
Policies vary by booking type (local or airport). Please ask our office at the time of booking.
Refunds are issued only
when:
- Cancellation is made 24+ hours before pickup.
- A minimum £6 deduction applies if cancellation is made 24+ hours before pickup.
- International refunds may have additional bank charges.
No refunds when:
- Cancellation is made within 24 hours.
- Flight is missed within 24 hours of pickup.
- Passenger provides incorrect booking details.
- Passenger leaves the pickup location without informing us.
If company fail to
provide a vehicle within:
- 30-45 minutes (regular bookings pickup time)
- 60 minutes (airport bookings pickup time)
Passenger may cancel the ride for a full refund but must inform the company before leaving pickup
location.
22 Delays & Liability
Diamond Cars Transfers Ltd.is not liable for:
- Traffic delays
- Accidents
- Weather conditions
- Road closures
- Missed flights, trains, or financial losses
- Delays caused by incorrect information provided by passengers
23 Damage & Cleaning Fees
Passengers are responsible for:
- Damage to vehicle interior or exterior
- Cleaning fees for spillage, vomiting, or heavy soiling
Cleaning Fees:
- Standard cleaning: From £60
- Full valet: From £100
- Repair costs billed at actual cost.
24 Seasonal Surcharges
A 50% surcharge applies during:
- Christmas: 24 Dec (6:00pm) – 26 Dec (11:59pm)
- New Year: 31 Dec (6:00pm) – 1 Jan (11:59pm)
Other peak dates at our discretion.
25 Complaints Procedure
Complaints can be submitted via:
Company will investigate and respond according to our official complaints policy.
26 Consumer Rights
Nothing in these Terms affects your statutory rights under UK consumer law.
